Minutes of meeting Nov 22\2006


Attendees:Carmen Hayes, Rick Kalwajtes, Maureen O'Connell, John Kelly, 

Bernice Townsend, Rodger Davidson, Jeff Riddle, Sara Bowen,    Patti Meroupolis, Bill Burtnik, Gigi  Needham

The purpose of the meeting was to get input from clubhouse users and the public. The clubhouse is used primarily for hockey in the winter and tennis in the summer. Access to a washroom and water fountain is required in the summer for soccer, lacrosse and the Green Shack (playground) participants. Also if some of the small group activities now held in the Community League Hall were held in the clubhouse, it would free-up more opportunities for the revenue-generating CCL Hall rentals.

The clubhouse was erected in 1978 and primarily intended as a hockey shack. Over the years tennis and other groups have made more and more extensive use of the building. There is a new roof and a new furnace. Renovations are required to make the building more versatile to accommodate the needs of all users.

  • The group identified issues that should be addressed by the renovation.
  • Gigi will compile the items (See attached) This group will prioritize the items and return the list to her. (Directions with attachment)
  • Roger will see if the city has the original structural plans for the clubhouse.
  • Bill, Bernice, Rodger and John volunteered to look for facility designers.
  • The Planning Committee (Jeffl Gigi, Bernice, John and Bill) will meet with the facility designers to discuss possible needs. The selected designer will be asked to submit a facility design and floor plan suitable for a contractor.
  • Three contractors will be asked to submit estimates.
  • A Program Statement will be sent to Rodger 4 to 6 weeks before the expected start date.
  • Though out this process the community will be kept apprised of the process via the website and newsletter.
  • Bernice and Gigi will try to visit Juventus Lounge area at the Argyll Velodrom.

Attached is the list of items to prioritize. Open the attachment. Give each item a ranking from 4 to 1 where 4 means the highest priority. Assigning a 1 to an item does not mean it is unimportant. It means that if there are financial constraints, that item could be eliminated or modified or postponed. You have a maximum of 35 points to distribute among the 13 items, or think of it as $35,000. This cap on the total is intended to force each of us to consider tough decisions that may occur. (I did it and it is tough, but it prevented me from putting a 4 on everything.) Then attach your ranking sheet to an email sent to Gigi (mkneedham@shaw.ca)
